So, you just found out your client has not one, but two insurance plans—and you weren’t in the loop. Now what? This happens more often than you’d think, and while it can be frustrating, it’s manageable with the right approach.
Step 1: Determine Primary and Secondary Insurance
The first step is figuring out which insurance is primary. This can depend on factors like employer coverage or whether one plan is through a spouse. The primary insurance is responsible for paying first, with the secondary insurance kicking in after.
Step 2: Update the Client’s Records
Once you know the primary and secondary insurances, make sure both are correctly listed in the client’s profile. You’ll need this information for future billing and any claims you need to resubmit.
Step 3: Resubmit Claims to the Correct Payer
If you’ve already submitted claims to the wrong insurance company, you’ll need to resubmit them. Send the claim to the primary insurer first, and once it’s processed, submit any unpaid balance to the secondary insurer.
Step 4: Prepare for Coordination of Benefits (COB)
The secondary insurance typically requires an Explanation of Benefits (EOB) from the primary insurance before they’ll pay anything. So, once the primary has processed the claim, you’ll need to submit the EOB to the secondary payer. This can take extra time, so keeping clients informed of possible delays is helpful.
Step 5: Communicate With Your Client
Let your client know the importance of providing all insurance information upfront. Explain how coordination of benefits works and how it can help ensure they receive the maximum coverage possible.
